With orders coming in from various channels and customers requiring highly specific formats, the company sought an integrated solution to improve efficiency, accuracy, and scalability.

The Challenge: Complex, Multi-Channel Document Handling

Tromborg faced several key challenges related to managing and exchanging business documents such as PRICAT, orders, invoices, dispatch advice, and order confirmations.

 

✅ PRICAT (Price Catalog):

 

Tromborg needed to send PRICAT files to various customers, each requiring a specific format. A common requirement was converting files from HubXML to D96A format and routing them to the correct destinations.

 

✅ Order Management:

 

Orders were received from multiple sources, including:

  • Network shares
  • SFTP servers
  • Multiple Shopify stores

Tromborg required a system that could consolidate these orders and automatically import them into their ERP system without manual effort.

 

✅ Invoice Processing:

 

Invoices had to be delivered via:

  • ERP-generated exports
  • FTP transfers

Additionally, some suppliers demanded custom formats based on their payment rules, making it difficult to standardize the invoicing workflow.

 

✅ Dispatch Advice (DESADV):

 

Customers expected dispatch advice documents in D96A format, yet Tromborg generated them in PDF via IMAP. Each trading partner also had different delivery preferences, including SFTP.

 

✅ Order Confirmations:

 

Incoming order confirmations were received as PDF attachments via email. Tromborg needed these to be converted into XML format and sent to customers based on their specific technical requirements.

The Solution: End-to-End Integration and Automation by HubBroker

HubBroker implemented a robust, fully automated solution to address each of Tromborg’s challenges across all document types.

 

🔹 PRICAT File Conversion: We built a document conversion engine that transforms HubXML PRICAT files into D96A format per customer specifications. Once converted, files are securely delivered to each recipient using the appropriate protocol.

 

🔹 Order Management Integration: Orders from network drives, SFTP, and multiple Shopify stores are now automatically imported into Tromborg’s ERP system. This ERP integration removed manual data entry, improved order processing time, and ensured consistent, error-free imports.

 

🔹 Flexible Invoice Processing:

We deployed a smart invoice processing system capable of handling:

  • Standard invoices sent from the ERP
  • FTP-based invoice delivery
  • Custom invoice formatting for suppliers with unique payment structures

This ensured that all invoice transactions remained accurate, timely, and compliant.

 

🔹 Dispatch Advice Automation:

Tromborg’s PDF-based dispatch advice documents are now converted into D96A format and sent to customers via their preferred method (e.g., SFTP). This automation aligned with each partner’s system, eliminating manual steps and ensuring compliance.

 

🔹 Order Confirmation Handling: Emails containing PDF order confirmations are processed via IMAP. The files are extracted, converted into XML, and routed to customers through secure channels—meeting all format and protocol requirements.
